Job Description:


The Office Assistant primary focus of this position is to ensure smooth office operations and to meet the administrative and organizational needs of the Director, Medical Director, and departmental staff of the Behavioral Health Center. The Office Assistant also acts independently, exercising considerable judgment as a routine part of the job, anticipating and identifying problems and where appropriate, implementing solutions. The Office Assistant must manage complex issues involving multiple and simultaneous tasks that include continual public and interdepartmental contact. The Office Assistant works under the demands of meeting strict deadlines, and works with detailed, complex, and sensitive materials.

The Office Assistant manages the organization of office procedures and manages the flow of information/medical records from admission to discharge. The Office Assistant will play a key role in coordinating and training staff in various positions including technical aspects for clinical staff and practical aspects for the transportation staff.

The Office Assistant communicates on a regular basis with customers, patient family members, and other caretakers. The Office Assistant is aware of his/her role not only as a hospital staff member but as a representative for the hospital as a whole and shows a strong commitment to excellence in customer service and safety.


Education: High School Diploma or equivalent required.

Licensure/Certification: None

Experience: Several years' experience with complex office procedures, including ability to work independently highly desirable; or any combination of education and experience that would provide the desired skills, knowledge and ability required to perform the job.

  • Must be computer proficient in word processing, database use/development, presentation programs, use of scanning equipment.
    • Must be comfortable working with a chronic mentally ill patient population.
    • Must have strong communication skills and ability to work with a team.
    • Some familiarity with mental health issues and psychiatric terminology preferred.
    • Some familiarity with medical terminology, including ability to read prescriptions and doctor's orders highly desirable.
    • Under the guidance of the Director, ability to prioritize and manage multiple, simultaneous, and often competing demands including departmental and patient needs.
    • Ability to efficiently multitask and shift back and forth between two or more activities or sources of information on a continual basis.
    • Ability to analyze complex office problems and develop/implement solutions.
      Estimated pay: $17.00 to $19.00 per hour based on qualifications (including but not limited to experience, education, certifications, and licensure where applicable).
